Essential Job Requirements
Manage and perform a variety of tasks to maintain the smooth operation of the front desk and reception area. Have excellent customer service, adequate with Microsoft office and adobe programs, an attention to detail, and a team oriented attitude. In need of a passionate and dedicated human to perform the job with the mission of WBWC in mind.
General Job Descriptions
Hire will be responsible for patient registration, acquiring insurance information, and giving insurance/billing guidance to our clients. Person will facilitate provider visits/and administrative tasks from providers, payment collections, scheduling and management of appointments/provider schedules. Individual will handle incoming correspondence of all kinds, and ensure patient records and documents are properly organized within electronic charts. Patient screenings and communication around the office, troubleshooting issues, and maintaining confidentiality. Hire expected to manage the front office in a manner that presents a positive, professional, yet personal experience for the client. Direct incoming phone inquiries to appropriate person, handle vendor deliveries and couriers. Ability to handle fast paced environment in the time of COVID.
Job Responsibilities and Duties
Telephone:
- Handle all calls in a courteous and professional manner.
- Take thorough messages, screen calls as requested and see that staff are informed of messages in a timely manner.
- Seek appropriate staff member to give client information for questions related to their care
Registration and check out of clients
- Register all new clients according to WBWC procedure.
- Inquire about any changes of address, phone number, insurance or Medicaid status of each client prior to each visit.
- Update chart information based on any changes
- Maintains all forms needed for registration process.
- Review all services/copay/balance forms for completeness and collect appropriate payments.
Medical Records
- Manage and maintain incoming digital records, keep records organized and uploaded properly and all forms available that are needed for the medical record.
- Fax correspondence in a timely manner.
- Process records as requested for appointments, labs, etc.
Billing
- Carefully review all information from the encounter forms and process according to WBWC procedures. Ensure that proper billing information is provided by the client. Return to provider for corrections as needed.
- Complete payment log and according to WBWC procedures.
- Collect all payments for all visits and payment plans.
- Maintain appropriate logs and spreadsheets.
- Refer any problems with clients regarding billing to the Billing Specialist.
- Communicate with billing service to ensure that all necessary information is gathered and reported correctly. Complete tasks in a timely fashion that are requested by the billing service.
Appointments
- Make appointments for all client care visits, according to WBWC rules, procedures and appointment types.
- Maintain and troubleshoot last minute schedule changes.
- Communicate all schedule changes with patients and providers
- Ensure all appropriate patient forms are sent, reviewed, accepted
Additional Responsibilities
- Participates in various department and staff meetings and events as requested.
- Works together with RNs, CNMs, and center Operations Manager to ensure that the center operates in an efficient and professional manner.
- FMLA paperwork processing
- RX management
- Insurance correspondence
- Database Management.
- Maintains a neat and pleasant entry and waiting room area.
- Knowledgeable about community resources for women, children and families.
- Performs other tasks as requested.
